
Exhibitor Terms & Conditions
These Vendor Terms and Conditions (“Agreement”) are entered into by and between the undersigned vendor (“Vendor”) and Card Show Company (“Organizer”).
These terms apply to all events operated, promoted, or managed by Card Show Company, including but not limited to Auckland Card Show, South Island Card Show, and Card Market NZ (collectively referred to as “the Event”).
By applying for and participating in any Card Show Company event, the Vendor agrees to the following terms and conditions:
1. Anti-Piracy and Product Policy
Card Show Company enforces a strict anti-piracy policy across all events.

Vendors found displaying or selling counterfeit, pirated, or fan-made products that infringe copyright or intellectual property rights will be required to remove such items immediately and may be asked to leave the Event without refund.

Vendors are expected to uphold high ethical standards when selecting products for sale. If there is uncertainty regarding the legitimacy of any product, Vendors must contact the Organizer prior to the Event for clarification.

A minimum of 75% of products displayed must consist of trading cards, collectible cards, or directly related products (e.g. sleeves, binders, storage solutions).

Products that significantly deviate from this requirement may be subject to removal at the Organizer’s discretion.
2. Booth Space and Setup
Booth Allocation:
Booth spaces are allocated by the Organizer based on availability and Vendor requirements. While specific requests may be considered, they are not guaranteed.
Setup and Load-In:
Vendors are responsible for setting up during designated load-in times as communicated by the Organizer. Booths must be fully set up and ready prior to the Event opening time.
Booth Hours:
Vendors must staff and operate their booth during all official Event hours. Early pack-down or closure is not permitted without prior approval from the Organizer.
Booth Design:
Booth presentation is the responsibility of the Vendor and must comply with venue rules, fire safety regulations, and general Event standards.
3. Liability and Insurance

Vendors participate at their own risk and are solely responsible for any loss, damage, or injury involving their property, stock, staff, or customers.

Card Show Company, its directors, representatives, staff, volunteers, and agents accept no liability for incidents arising from Vendor activities.

Vendors accept full responsibility for all goods, equipment, and materials brought to the Event, including any loss, theft, or damage.

Vendors agree to indemnify and hold harmless Card Show Company from any claims, damages, losses, or legal actions resulting from the Vendor’s actions, omissions, or negligence.

Vendors are strongly encouraged to carry appropriate insurance coverage for their business, stock, and equipment.
4. Compliance with Laws and Regulations

Vendors must comply with all applicable laws, regulations, and venue requirements, including fire, health and safety, and local authority regulations.

Vendors are responsible for collecting and remitting any applicable taxes and for obtaining any required licenses or permits necessary to operate at the Event.

The Organizer reserves the right to remove any Vendor found in violation of legal or safety requirements.
5. Health and Safety

Vendors must maintain a clean, tidy, and safe booth area at all times.

All waste and packaging materials must be removed by the Vendor.

Vendors must comply with any health-related protocols in place at the time of the Event, including government or venue-imposed requirements.
6. Event Cancellation or Postponement

Card Show Company will not be held liable for Event cancellation or postponement caused by circumstances beyond its control, including natural disasters, venue issues, or government restrictions.

In the event of cancellation or postponement, Vendors will be offered either:

A refund, less any applicable administrative fees, or
-
The option to transfer their booking to a rescheduled date or future Card Show Company event.

7. Conduct and Behaviour

Vendors must conduct themselves professionally and respectfully at all times.

Harassment, abusive behaviour, disruptive conduct, or failure to follow Event rules may result in immediate removal without refund.

The sale of illegal, unsafe, or prohibited items—including weapons, drugs, or counterfeit goods—is strictly forbidden.
8. Payment Terms and Refund Policy

Vendor fees are payable in full by the stated deadline once booth space is confirmed.

Failure to pay by the deadline may result in forfeiture of the booking.

Vendor fees are non-refundable except in the event of Event cancellation or rescheduling by the Organizer.

Vendor-initiated withdrawals do not qualify for refunds.
9. Force Majeure
Neither party shall be held responsible for failure or delay in performing obligations due to circumstances beyond reasonable control, including but not limited to acts of God, fire, flood, war, pandemics, or government-imposed restrictions.
10. Miscellaneous

Amendments: Card Show Company reserves the right to amend these Terms and Conditions at any time. Vendors will be notified of any material changes.

Governing Law: This Agreement is governed by the laws of New Zealand, and all disputes shall be subject to New Zealand jurisdiction.
